Whistleblowing at Ebor Mills

At Ebor Mills, we are committed to upholding the highest standards of integrity, transparency, and ethical conduct in everything we do. We believe that fostering an environment where concerns can be raised safely is essential to maintaining trust with our customers, partners, and the wider community. This Whistleblowing Policy outlines how anyone – including customers, suppliers, and other stakeholders – can report suspicions of wrongdoing without fear of reprisal. We encourage you to speak up if you witness or suspect any unethical behavior, regulatory issues, or other concerns related to our operations.

Who This Policy Applies To

This policy is designed for everyone connected to Ebor Mills, including our employees, contractors, directors, customers, and external stakeholders. It covers a wide range of issues, such as illegal activities, unethical practices, regulatory breaches, financial misconduct, health and safety risks, environmental concerns, or any other form of wrongdoing that may impact our business or the public.

Key Terms Explained

  • Whistleblower: Anyone who reports concerns or suspicions about wrongdoing at Ebor Mills.
  • Wrongdoing: Any action that breaks laws, regulations, company policies, or ethical standards. Examples include fraud, corruption, harassment, discrimination, safety hazards, or environmental violations.
  • Protected Disclosure: A report made in good faith under this policy, which is safeguarded from retaliation under UK law.

How to Report a Concern

We provide straightforward and secure ways for you to raise any issues. You can report internally or externally, depending on what feels most appropriate for you.

Internal Reporting

Contact our designated representative, Paul Wilkins, at Paul.Wilkins@Eborbca.co.uk (mailto:Paul.Wilkins@Eborbca.co.uk). You can also submit concerns via phone or in person.

Examples of issues you might want to report include:

  • Non-compliance with Professional Conduct Rules for Registered Building Control Approvers.
  • Breaches of the Code of Conduct for Registered Building Inspectors.
  • Violations of Operational Standards Rules for Registered Building Control Approvers.

This is not an exhaustive list – if something doesn’t feel right, we want to hear about it.

External Reporting

If you prefer, you can report directly to an external authority, such as the Building Safety Regulator:

You may also contact relevant law enforcement or regulatory bodies if the matter involves serious legal issues.

Your Privacy Matters

We handle all reports with the highest level of confidentiality possible. Your identity will be protected to the fullest extent allowed by law, and we’ll only share details if absolutely necessary for a fair investigation or required by legal obligations.

Non-retaliation – We Protect You

We strictly prohibit any form of retaliation against those who report concerns in good faith. This includes protection from dismissal, demotion, harassment, or discrimination. If retaliation occurs, it will be treated seriously, with potential disciplinary action up to and including termination. If you feel you’ve experienced retaliation, please report it immediately to our whistleblower protection officer for prompt investigation.

How we Handle Reports

Once we receive your report, we’ll start a fair and thorough investigation right away. This involves gathering evidence, speaking with relevant parties, and evaluating the issue’s impact. We’ll keep you updated on progress and outcomes where possible, without compromising the process or confidentiality.

Safeguarding Whistleblowers

Your safety and well-being are our priority. We’ll take all necessary steps to shield you from any negative consequences arising from your report.

Reports Made in Good Faith

We appreciate genuine concerns and expect reports to be based on honest suspicions. However, false or malicious reports intended to harm others or the company will not be tolerated and may lead to appropriate action.

Our Commitment

This policy is reviewed regularly to ensure it remains effective and compliant with UK laws. We’re dedicated to building a culture of openness and accountability – your input helps us improve.
